Aimfair Gathering - March 22, 2017

The last of six Aimfair Gatherings that took place between November, 2016 and March, 2017 was held on March 22, 2017, and from all reports, it was very successful.

We want to thank everyone for participating in these mixer/question and answer sessions that started on November 9, 2016.

They were successful in large part because Mr. Brett Estes, Member Relations Liaison for Vida Vacations, was there to meet Aimfair members and answer their questions. In addition, Vida Vacations graciously supported the Gatherings by hosting all six Gatherings and paying for all libations. Thank you Brett and Vida Vacations for your generous participation and support.

They were also successful because Aimfair members volunteered to take leadership roles at each Gathering. At the March 22 Gathering, Bill Shannon volunteered to introduce Brett and facilitate the question and answer sessions. He did a wonderful job! Bill was able to help Brett by keeping questions on focus and allowing everyone a chance to raise their question.

Maria DeMarco took copious notes and sent them to us shortly after the meeting. We were the tardy ones, not Bill and Maria!

In the January and February meetings, Stan and JoAnn Morrow volunteered to participate in each meeting. Stan provided the introductions and JoAnn provided notes for each Gathering. In addition, Linda in Seattle provided notes as well.

Thank you Bill, Maria, Stan, JoAnn, Lisa and Linda for your participation and invaluable help. The Gatherings would not have been as successful without you.

These Gatherings provided both Aimfair and non-Aimfair members the opportunity to mix with and meet each other and voice questions to a representative of Vida Vacations. Much was learned, and all of us hope the suggestions voiced at the Gatherings will result in changes that benefit all Vidanta members.

Overall, the survey feedback on the March 22 Gathering was favorable, with a few exceptions. In those limited cases, the respondents did not feel they learned anything they did not already know or they felt the session was a "bitch" session. The meeting's notes provide a listing for questions asked, and the survey results plus comments provide a feeling for participant's sentiment. AIMFAIR GATHERING MINUTES:

March 22, 2017

Offsite Access:
  • Still #1 complaint
  • Suggested a Boardwalk be built from beach to Sea Garden – Brett will pass on as inexpensive interim solution
  • Northbound Exit:
    • Problem with landowners to build exit
    • Turnabout currently being worked on so don’t have to go across the KIA parking lot
Online Reservations:
  • Currently into Year 3 of system rebuild
  • Should have ability to see what you have reserved and what is available in the near future
  • Folks still having problems because the resort systems do not talk to each other, e.g., free massages not showing up at the spa.
  • Resolution Suggestion: Check with reservation agent to ensure that benefits are included when making the reservation.
Opening of the Park:
  • Still scheduled for November 2018
  • Good progress on Kingdom of the Sun
  • Brett will send aerial views to Aimfair
  • Also planning to open 2 hotels at the same time which will also be used for the Convention Center business
Room Assignments:
  • Done every Tuesday for Fri/Sat/Sun/Mon check-ins
  • Have identified the most desirable locations
  • Those with the biggest investments get the best units in that category
  • Sales person can make a request, but no guarantees
Ambassador Program:
  • Alive and well
  • The “Ambassador” website was not Vidanta – was a third party hoping to capitalize on the rental market
Scams:
  • Still getting inundated with fraudulent calls
  • Some have been arrested; best guess is that the numbers are accessed by individuals who work here. Cell phones are now not allowed in areas where there is customer information.
  • The new software is more secure
Golf:
  • Norman course currently uses 5 of the Nicklaus holes
  • New 5 holes are being built across the river for the Norman course
East Cape:
  • Some of the infrastructure complete
  • Starting to build a sales floor
  • Will have low priority until the Park is complete
Maintenance:
  • Several units are refurbished every week. Will become a larger effort after high season.
  • The beach chairs and umbrellas on the beach are also being refurbished at this time. Plan to also purchase more
  • Need plates and glasses in the Grand Luxxe Jr Suite
Storage Lockers:
  • Several people believe they were promised storage lockers where they could keep things until their next vacation
  • Because the number of owners has grown so much, this looks like an untenable program
Cruise Ship:
  • Vidanta has purchased a 600-passenger cruise ship which is being refitted
  • Plans are to start service in June
  • Details to follow
  • Looking at purchasing 4 more cruise ships
Miscellaneous:
  • Request for Vidanta financials – this is a privately held company and financials are not available
  • Music around the resort can get very loud; Brett will pass on to Hotel Management
  • Convention Center - for off-season so that can keep staff employed and best utilize occupancy
  • New Building on other side of Tower 5 will have 2- and 3 –bedroom lofts. Three other buildings planned for that area.
New Ideas:
  • On check-in evenings, open a dinner buffet at Café de Lago so new occupants have a place to go when they arrive without reservations. (Was mentioned that can use the Open Table app before arrival, but flight delays, etc. might interfere.)
  • Benches along the walkways would allow the less mobile to have a place to rest.

Summary of Bill's Comments
Hola Bob and Mary Ann,

Overall, I thought the March 2018 Aimfair Gathering went well.
  1. There was no microphone for Brett or me to use. Brett said that they do not have a portable sound system which would have worked for the setup we had, and it would not have worked trying to use the Tower 1 PA system as it would have gone all over the place; no way to localize the system for just one small section of the building. However, Brett's got a good, strong voice, and the problem seemed to be more that attendees could not always hear the question being asked. When I heard people remarking that they couldn't hear, I asked the person with the question to speak louder and/or to stand up

  2. One of the questions was about the Ambassador Program and whether it is working well and how much money has been paid out to owners who had certificates actually used. He said that it was "alive and well" but didn't have any statistics in support. He next talked about "The Ambassador" website which he said is not affiliated in any way with Vidanta. Later, during my own update briefing with Michelle Doyle, a Member Specialist, she said that she's had good success with the program and has paid out $300 each to at least fifteen owners.

  3. One of the best little gems of advice was that people can use the app "Open Table" to book reservations at any Vidanta restaurant up to 60 days in advance.

  4. Before we began, a lady came to me and said that she and her husband were not Aimfair members but they'd heard about it and wanted to stay (if I would permit them) to see if they wanted to join Aimfair, so I said "sure!", betting on the come. Afterwards, her husband came and thanked me and said that his wife had just written their check for $60. Maybe you want to consider allowing nonmembers to attend and receive a membership application, with the understanding that, as nonmembers, they cannot participate in the Q & A. Just a thought.

  5. Marie's note re: Online Reservations and free benefits (golf and massages) not showing up on reservations: My wife had the same problem when she tried to make a massage reservation, she was told that it wasn't in our reservation. We spent over 45 minutes with a concierge to get the authorization. He had to call central reservations and someone there had to research what our contract allowed, and ended up admitting that the Reservations personnel had made a mistake when completing our reservation. My advice to other Aimfair members would be to confirm all benefits allowed on the contract at the time of making a lodging reservation and ask that they be spelled out on the reservation via a note or attachment. Then, when checking in for their stay, to ask for confirmation that all allowed benefits are stated clearly in their reservation.

Thanks for letting me stand in for you, hope I served you well. Afterwards, several people asked me how I got chosen to be the MC; told them I volunteered and had never met you. By the way, when I had a chance to put in a plug for Aimfair membership, I commented on the difference between a Registered Member and a Subscribing Member, so hopefully I swayed some to move to become Subscribing Members.

What Participants Have to Say...

  1. In our contract we have the term "alternate weeks" how is this different from residence weeks? 2.Is there a consideration for lowering usage fees if we vacation April, May June, Sept. Oct Nov. Dec. 3. Of course - having a way to egress the property that doesn't entail needing to get a taxi or walking through the sand or going through a passage that they don't want us to. 4. Booking with more facility.

  2. Shuttles to Sea Garden, restricting access to it by beach only is not doable by many older guests. Allow Luxxe members to receive their ID bracelets and be able to activate them wherever they choose to check in. Please review safety of Grand Bliss pool lounge chairs, quite a number of people have fallen backwards and injured themselves. Safety exit information in case of fire etc has been removed from the back of all Grand Mayan doors. Please ensure all staff handing out laundry soap are aware of how to put it in the washers safely, clothing comes out stained blue if incorrectly used.

  3. Feedback on management action on recurring issues.

  4. Have a knowledgable Vidanta Staffer attend: Someone who could give difinative answers OR offer to get back with responses to legitimate concerns raised by the members. We attended 2 meetings & disappointed in the responses given by Estes. As the mean age is likely 65+ ensuring that emergency medical equipment & staff is readily available. After the meeting I asked 6 frontline staffers in building 1 where a defibrillator(s) was located & none had any idea. Time to ask the Hard questions of the owners. We have been owners for over 17 years & love the place but as the years pass our health needs change. We appreciate what you are doing & offer to assist. James & Elizabeth Moore

  5. The meeting went off the rails from the beginning. Members spoke out of turn whether their hand was raised and Mr. Estes allowed this the entire meeting.

  6. Include more information in the monthly newsletters from Vidanta, & protocol around the pool enforced by security. (Not the activity staff). Dress code in all the lobbies....shoes & shirts required!

  7. Have someone from property planning in attendance.

  8. On 4. above since no questions can be asked about the contract, then investment confidence is not increased. Suggestions for future meetings: Appoint a person to allow everyone to ask one question. Then allow a 2nd question & so on.

  10. How to get better communication with Vidanta regarding membership problems

Comments from the survey respondents about the Gathering:

  • It was general in nature so not really tailored to my investment. The responses to the questions were good and I appreciate that he doesn't represent management directly. Perhaps having a more formal structure for members to compare notes would be good along with information on how Aimfair can help with information etc.

  • I think the same main concerns are discussed every year with no real response from management. The entry road was the main topic, as I understand it was for the past few years. There was no one to give firm answers - only, "I will pass it on."

  • Golf

  • It was a waste of my time attending. While the speaker stated at the start that he represented Vida Vacations only, not many understood that Vidanta, a privately held company, is in no way linked to Vida Vacations except that Vidanta has currently contracted with Vida Vactions for them to manage the booking of reservations. The speaker frequently responded to questions by saying he would pass the comment to the General Manager of the facility. One of the issues which most agreed to was the loss of the "Wow factor" which used to hit us on entering a room, the rooms are really looking tired. Regaining access to the facility via what was the "Taco Break gate" was also a big issue for most of those present. Colin Broughton.

  • Refurbishment of the units that are now 5 plus years old and showing wear and tear.. I think more substantive issues are important for updates.

  • I thought that members asked good questions but I found that frequently Brett didn't or couldn't give a straight answer. Nonetheless, I think it is a useful exercise and we thank you for your work in organizing it.

  • I'm sorry to say I forgot about the meeting and did not attend.

  • Financial situation of Vidanta. Written material re the contractual status of various types of ownership.

  • What are the various levels of contracts . . . silver, gold, platinum? Number of weeks owned? Type of unit owned? Could not find a lot of info on the web about this other than what is on the Aimfair site. Also . . . what do the various colors of bracelets mean?

  • It was more of a gripe session than an informational one. As the amusement park is opening soon information about its impact on members would have been helpful. Although he tried to be helpful, Brett did not have answers to many of the questions.

  • I have 2 concerns with Vidanta NV 1) the long wait times for shuttles. 2) the cost of drinks and restaurants.


The 2016-2017 season has been interesting for Grand Luxxe Residence Club members. Important issues have been raised and discussed. Some are permanent issues, such as the long entrance to the property and the inability to travel north without going south first. Others, such as loud music from the beach, have been resolved by simply changing the direction of the speakers to face the ocean.

Issues remain works in progress:
  • The on-line reservation system is under development.
  • Members need to confirm reservations for golf and massages are noted on their reservations before arrival.
  • The shuttle system continues to be discussed.
  • Closing access points to walk on and off the property remains a source of irritation.
  • Safety concerns remain unaddressed.
We know management wants to maintain the AAA Five Diamond Rating for the Grand Luxxe in Nuevo Vallarta. At the same time, members want services and treatment that meet Five Diamond levels, and many do not feel management is living up to such levels. Some members are serious enough that they encourage others to sign a petition that asks AAA to reconsider their Five Diamond Rating for the Grand Luxxe in Nuevo Vallarta.

That said, all of us appreciate the opportunity to discuss issues with Vida Vacations through Mr. Brett Estes. It takes a great amount of fortitude to allow members to air their concerns in the semi-private setting of the Aimfair Gathering. For that we are grateful and look forward to monitoring changes that evolved from the discussions that took place between November 9, 2016 and March 22, 2017.

Our view opening doors to improved communication is always good, regardless of the answers, so long as honesty prevails. It builds trust, which is a valuable, intangible form of capital. As we look around the property, walk the beach, enjoy the spacious accommodations, play two golf courses, enjoy meals and safely walk back to our unit in the middle of the night and swim the beautiful pools, we tell ourselves how lucky we are that we are members of the Grand Luxxe Residence Club.
All we can do is wait for our issues to be addressed.....and fully....Enjoy!!
